Converting Approved Quotes into Work Orders

Once a quote is approved, it can be converted into a work order so the job can be scheduled and completed.

Overview

A quote must be approved before work can begin. There are two ways a quote can be approved:

  • The customer approves it directly from the quote link.
  • Your company manually approves it within Lessen Pro.

Once approved, the quote converts into a Work Order (or is added to an existing one) and can be scheduled.

Option 1: Customer Approves the Quote

Customers can approve quotes directly from the email or text notification they receive.

Send the Quote to the Customer

From the quote, send it to the customer via Email or Text.

Customer Opens the Quote Link

The customer receives the notification and clicks the View Quote link in the message.

Customer Approves the Quote

The customer reviews the quote and selects Approve. If your company has enabled it, they may also be prompted to provide a signature.

Convert to a Work Order

Once the customer approves, the quote status updates automatically to Approved.

If the quote originated from a Lead, select Convert to Work Order. The job is now ready to schedule.


Option 2: Manual Approval by Your Company

If needed, your team can manually approve a quote directly in Lessen Pro.

Navigate to Work

From the left navigation, go to Work and locate the quote you want to approve.

Open the Quote

Select the quote to open its details.

Approve the Quote

Click Approve to manually approve the quote. If applicable, you may also change the status to Awaiting Response.

Work Order Created

Once approved, the quote automatically converts into a Work Order and you can proceed to scheduling.

What Happens Next

After the quote converts into a Work Order, you can:

  • Assign a technician
  • Schedule a visit
  • Begin the check-in and service workflow
  • Track job progress
  • Generate an invoice after completion

💡 Best Practices

  • Send quotes immediately after creating them.
  • Enable signature requirements for larger jobs.
  • Convert approved quotes quickly to avoid scheduling delays.
