Mobile App: How to Create Quotes

Create professional quotes to your customers for self-managed work orders directly from the Lessen Pro mobile app.

Overview

Quotes can be built using services from your Pricebook or custom services, then send it to customers by text message, email, or a shareable link — all from your phone.

📋 Note: Quote settings on mobile — including default values, tax settings, and terms — are based on the quote settings configured in the Lessen Pro web portal. Update these settings in the web portal before creating quotes on mobile.


Create a New Quote

Tap + Quick Creation button to select Quote in the bottom right corner or use the Quote Needed filter from the Home Screen.

Select the lead or work order item you want to create a quote for.

From the lead or work order detail page, proceed to the Quote tab. Tap New Quote, then select Create from Scratch.

The quote builder will open, allowing you to add services and customize what the customer sees.

Customize the Customer View

Tap Edit Customer View to control what information is visible to the customer. You can show or hide:

  • Service details
    • Taxable Pricing
    • Pricing information
  • Line items
    • Quantity fields
    • Price per unit
    • Line item totals

📌 These settings only affect what the customer sees and do not change your internal quote data.

When finished, tap Save.

Add Services to the Quote

You can add services in two ways. Repeat either process to add multiple services to the same quote.

⭐ Option 1: Add from Your Pricebook

Tap + Add Service, then select Add Service from Pricebook.

Search for the service you want to include and select it from the results.

Review the service details and pricing, then tap Add Service.

✏️ Option 2: Create a Custom Service

Tap Create New Service and enter a service name and optional description.

Choose a pricing type: Lump Sum (single price) or Itemized (detailed line items).

Specify whether the service is taxable, then tap Create Service.

Review the Quote

Before sending, review the full quote summary to confirm all information is accurate, including:

  • Customer information
  • Service details
  • Pricing and taxes
  • Terms and conditions
  • Total quote amount

Send the Quote

Once the quote is ready, tap Send Quote and choose one of the following delivery methods.

Send by Text Message

Tap Send Quote as Text, review the pre-populated message, confirm the recipient, and tap Send. The customer will receive a text with a link to view the quote.

Send by Email

Tap Send Quote as Email, choose an existing contact or enter a new email address, tap Next, review the email, and send.

Share a Quote Link

Copy and share the quote link directly with the customer through any channel of your choice.

Manage Quote Status

After a quote has been sent, open the quote and tap Quote Actions to manage it. Available actions include:

  • Mark as Approved
  • Mark as Rejected
  • Rescind Quote
  • Copy Quote Link
  • Preview as Customer
  • Download as PDF
  • Delete Quote

Quotes vs. Invoices

While Quotes and Invoices share a similar creation process, there are a few key differences.

📋 Quotes

  • Propose work before approval
  • Sent for customer approval
  • Can be accepted or rejected by the customer
  • Focuses on proposed services and pricing
  • No payment progress tracking

🧾 Invoices

  • Bill for completed or approved work
  • Creates a payment request
  • Includes payment terms, due dates, and taxes
  • Tracks paid and remaining balances
  • Includes payment status and invoice history

💡 Best Practice

  • Review the customer view before sending a quote
  • Use services from your Pricebook whenever possible to ensure consistent pricing
  • Include clear descriptions to help customers understand the scope of work
  • Download a PDF copy for your records if needed
  • Monitor quote status and follow up with customers on outstanding quotes
