Create reusable quote templates and define default quote settings to save time and ensure consistency.

Overview

Quote Settings and Templates allow you to quickly generate professional, consistent quotes for customers. You can:

  • Create reusable templates for common services
  • Pre-define terms, deposits, and formatting
  • Standardize customer-facing quote details

Part 1: Set Default Quote Settings

Define default terms, deposits, and customer view preferences that apply to all new quotes created from scratch.

Navigate to Quote Settings

  • Go to Business Settings
  • Select Quote Settings

Set the Quote Name Rule

Automatically generate quote names using dynamic placeholders to keep your quotes consistent and organized.

To build your naming format:

  • Click Insert variables + next to the Quote name field
  • Select from the available variables to build your format

Available Variables Include:

  • Customer Name
  • Lead / Work Order ID
  • Current Date
  • Quote ID
  • Ref #
  • Quote Amount
  • Billing Address
  • Service Location
A live example will preview below the field as you build your format.

Add Standard Terms and Disclaimers

Enter default terms that will automatically populate on all new quotes:

  • Terms and conditions
  • Service disclaimers
  • Warranty or policy information

Set Default Deposit Requirements

Define deposit expectations for new quotes. This ensures customers understand payment expectations upfront.

  • Default deposit amount (if applicable)
  • Default due date
  • Deposit instructions

Control the Customer View

Customize what customers see when receiving a quote. You can control visibility of:

  • Pricing details
  • Descriptions
  • Terms and conditions
  • Additional quote information

Require Customer Signature (optional)

Enable this setting to require customer approval before work begins. When enabled:

  • Customers must provide a signature to approve the quote
  • Signed quotes create a record of authorization
  • Helps protect your business
Recommended for projects requiring formal approval.

Save Your settings

Click Save when you are done.

✓ Your settings will apply automatically to all new quotes created from scratch — including default terms, deposit settings, customer view preferences, and signature requirements.

Part 2: Create Reusable Quote Templates

Templates serve as the starting point for new quotes. You can still customize individual quotes as needed.

Navigate to Quote Templates

  • Go to Quotes
  • Select Quote Templates
  • Click My Customers
  • Select Create Template

Enter Template Information (internal only)

This section is for internal organization and tracking only — not visible to customers.

Template Name

e.g. Standard Residential Service Quote

Internal Note (optional)

Add notes for internal reference — not visible to customers

Configure Customer-facing Quote Information

This section defines what customers will see.

Quote Name

The title displayed on the customer quote

Reference Number (optional)

For internal or customer tracking

Expiration Date (optional)

Set how long the quote remains valid

Quote Format

  • Itemized — Displays individual services and pricing
  • Lump Sum — Displays a single total amount

Quote Description (optional)

Describe the scope of work to help customers understand what is included

Add Services and Pricing

Add line items based on your selected format:

  • Add individual services and pricing (Itemized)
  • Enter a total service amount (Lump Sum)

Add Terms, Deposits, and Optional Details

Terms and Conditions (optional)

Add legal terms, service conditions, or warranty details

Deposit Due (optional)

  • Deposit amount
  • Due date
  • Instructions for the customer

Discount (optional)

Add a flat amount or percentage discount

Save the template

Click Save Template. Your template will now be available when creating new quotes.
