How to Submit an Invoice for a Lessen Work Order

Learn how to create and submit an invoice for a Lessen Work Order through the Lessen Pro platform.

Overview

Once a Lessen Work Order has been completed, you can create and submit an invoice directly through Lessen Pro for review and payment processing by the Lessen team.

Make sure all invoice details, pricing, and supporting documentation are accurate before submitting. Once submitted, the invoice will be reviewed by the Lessen team for approval.

📋 Note: The invoicing process in Lessen Pro follows the same workflow as the Lessen ONE portal. Existing templates and pricing structures can be accessed during invoice creation to help ensure consistency and faster submission.

Open the Work Order

  1. Navigate to the Work Orders page.
  2. Filter the work orders to Complete, Invoice Needed status.
  3. Select the Lessen Work Order you need to invoice.

Navigate to the Invoice Tab

  1. Inside the Work Order, click the Invoices tab.
  2. Select one of the following options to begin:

⭐ Use a Template

Select a saved invoice template to pre-populate services and pricing for faster creation.

📥 Import from Proposal

Import an approved quote or proposal to automatically carry over the line items and pricing into the invoice.

📄 Create New One

Build the invoice from scratch by manually entering all line items, pricing, and details.

Use An Invoice Template

  1. In the invoice creation page, select the available template if one has been provided for the Work Order. Select the Use It button to proceed.
  2. Review the prefilled proposal information, including:
    1. Labor line items
    2. Material costs
    3. Travel charges
    4. Freight charges
    5. Other charges
  3. Update quantities, pricing, or descriptions as needed to match the scope of work completed
  4. Add or remove line items if additional work or materials are required.
  5. Review the proposal subtotal and summary section to confirm the invoice totals are accurate before submitting.

Create A New Invoice

  1. In the invoice details section, enter the required labor information, including:
    1. Technician hours
    2. Hourly rate
    3. Total labor amount
  2. Add parts used during the service, including:
        1. Part name
        2. Quantity
        3. Price per unit
    1. Select + Add Technician or + Add Part if additional labor or materials need to be included.
    2. In the Tasks section, select the completed tasks that apply to the work performed.
    3. If needed, select Edit to modify recommended tasks or select Search for something else to add additional task details.
    4. Add any additional charges if needed by selecting + Add Fee.
      Examples may include:
      1. Disposal fees
      2. Travel charges
      3. Equipment fees
      4. Miscellaneous service charges
    5. Upload supporting attachments as needed, such as:
        1. Before and after photos
        2. Vendor documents
        3. Receipts
        4. Supporting files or documentation
    6. Complete the additional invoice details section, including:
        1. Whether an asset was replaced
        2. Whether a permit was required
    7. Review the Invoice Overview section to confirm all totals are accurate.
    8. Select Submit Invoice to send the invoice for processing and review.

    📌 Note: Make sure all labor, materials, fees, and supporting documentation are included before submitting the invoice to help avoid processing delays.

    Review the Invoice

    Review all invoice details carefully and confirm the following before submitting:

    • Pricing is accurate
    • Quantities are correct
    • Required attachments have been added
    • Notes and descriptions are complete

    Submit the Invoice

    1. Select Submit Invoice.
    2. Review any confirmation prompts.

    Once submitted, the work order status will update and the Lessen team will review the request.

    💡 Best Practice

    • Provide clear and detailed descriptions for all completed work
    • Include supporting photos and documentation whenever possible
    • Double-check labor, material, and quantity pricing before submitting
    • Submit invoices as soon as possible to help avoid delays in payout
    • Keep communication and notes updated within the Work Order if additional information is requested
