Web: Completing a Lessen Work Order

Learn how to complete a Lessen Work Order in the Lessen Pro web portal, including reviewing details, updating statuses, adding documentation, and finalizing a work order.

Overview

This article walks you through how to complete a Work Order in the Lessen Pro web portal, from opening the work order to marking it as complete.

⚠️ Important

Technicians should fully complete Work Orders in the Lessen Pro mobile app whenever possible to support app compliance, accurate job tracking, and complete service documentation to help maintain scorecard. Completing a Work Order through the web portal should only be used if the technician is unable to complete the Work Order on their mobile device.

Open the Work Order

  1. From the Work Orders page, locate the Work Order you want to complete.
  2. Select the Work Order to open the Work Order details page.

Review Work Order Details

Before starting the Work Order, review the information provided, including:

  • Service details
  • Property information
  • Scope of work
  • Instructions or troubleshooting notes
  • Customer and scheduling information

Check In to the Work Order

  1. In the Work Order details page, select Check In.
  2. Enter the required check-in information: date, time, and arrival details if applicable.
  3. Select Save or Check In to confirm.

Once checked in, the Work Order status will update accordingly.

Upload Photos Through Attachments

As work progresses, you can attach photos to the work order from the web portal when needed:

  1. Select the Attachments tab from the top navigation menu.
  2. Select + Upload.
  3. Choose the photos you want to upload from your computer.
  4. Once uploaded, select the category for the photos including:
    1. Original request
    2. Check in
    3. Before service
    4. After service
    5. Other
  5. Select Done to complete the process.

Add Internal Notes

  1. Navigate to the Internal Notes section.
  2. Enter detailed notes in the text field.
      1. If the message needs to be shared with a Lessen ONE team member, select Send to Lessen.
      2. If the note is intended for your internal team only, select Send.
    1. Review the note to ensure all relevant details are included before submitting.

    Check Out of the Work Order

    1. From the Work Order details page, select Check Out.
    2. Enter the required checkout information, including:
      1. Select a Check Out Option
        1. Work Is Completed
        2. Start Needed
        3. Return Trip Needed
      2. Checkout date/time
      3. Reason for manual check out
      4. Completion the check out questions for the work performed
    3. Review all entered information to ensure it is accurate and complete.
    4. Select Save to complete work order to finalize the checkout process.
    5. Once submitted, the Work Order status will update to Completed, Invoice Needed to reflect that the Work Order has been completed.

    💡 Best Practice

    • Technicians should complete Work Orders in the mobile app whenever possible to maintain compliance and ensure all field activity is properly documented
    • Use the web portal completion process only when a technician is unable to complete the Work Order from their mobile device
    • Complete all required fields and review all information before submitting the Work Order
    • Upload clear and complete photos when required
    • Keep Work Order statuses updated throughout the job lifecycle
