Step by Step: Create Lead

Learn how to create, manage, and convert leads in Lessen Pro from start to finish.

Overview

Leads are your starting point for all work opportunities in Lessen Pro — every opportunity for work that comes in, whether from Lessen, a phone inquiry, or another source.

From the Leads section you can find, filter, create, and convert leads into quotes, work orders, or invoices.

Accessing Leads

From the dashboard, click Leads in the left menu bar.

Use the filter panel on the top left to narrow things down by:

  • Status
  • Lead Number
  • Source
  • Customer
  • Priority
  • Tag

How to Create a New Lead

From the Leads page, click New Lead.

Search for an existing customer or create a new one.

Then add a service location or create a new one for the customer.

Add a brief issue description (for example: Toilet leaking in men's bathroom).

Optionally, select Suggest service combo, then confirm or select the service category, service type, and problem code.

Optionally, enter a lead source (for example: if this came through your website) and/or a reference number.

Then set the priority.

Setting a priority level ensures urgent work is handled first and keeps tasks organized and on track.

Optionally, upload any relevant files (such as photos or documents).

Add tags to provide additional context, making it easier to organize, search, and manage the work order.

 If an on-site assessment is needed before work begins, toggle that on.

You can note the estimated time, whether you'll charge a fee, and choose to schedule immediately or select later based on the customer's availability.

Add any internal notes.

Internal notes are visible only to your team, use them to capture important details, context, or instructions for the work order.

Click Submit.


Managing a Lead

Once your lead is created, use the Actions panel on the top left of the lead page to take next steps.

  • Convert to Work Order — move the lead forward when the work is ready to be scheduled
  • Create a Quote — send a quote to the customer before committing to the work
  • Create an Invoice — bill the customer directly from the lead
  • Edit the Lead — update any details as the situation changes
  • Close the Lead — close it out if it doesn't move forward

💡 Best Practice

  • Log every inquiry as a lead — even if it doesn't convert right away
  • Use tags and priority to keep your lead list organized
  • Convert leads promptly to avoid delays in scheduling and invoicing
