Web: How to View and Manage Assets for Lessen Work Orders

Learn how to view and manage assets associated with Lessen Work Orders in the Lessen Pro web portal.

⚠️ Important

Asset workflows such as asset replacement and required data collection should be completed through the mobile app when technicians are on-site. The web portal provides additional management capabilities and should primarily be used as a backup option or for administrative updates.

Overview

Assets help track equipment, appliances, and other serviceable items associated with a customer location. Lessen Pro includes two primary asset areas:

  • Asset Registry — A centralized view of all assets across customer locations. Search, filter, and review asset details and status information.
  • Work Order Asset Management — View, add, create, and remove assets directly from within a specific Work Order.

View Assets in the Asset Registry

The Asset Registry displays a centralized list of assets assigned across customer locations.

Navigate to Reports from the left navigation menu. Then select Lessen Asset Registry

Review the list of available assets. Use the search and filter options to locate specific assets.

Select an asset to open its details.

Asset statuses you may see:

✅ Active

The asset is in service and functioning normally.

⚠️ Inactive

The asset is not in active service. Inactive statuses include:

  • Broken
  • On-site
  • Not functioning
  • Removed

View Assets on a Work Order

Navigate to Work Orders and open the applicable Work Order.

Select the Assets tab to review any assets currently linked to the Work Order.


Add an Existing Asset to a Work Order

Open the Work Order and select the Assets tab.

Click Select Asset and review the list of assets assigned to the location.

Select one or multiple assets as needed, then click Add Asset.

📌 Multi-select is supported if multiple assets need to be associated with the same Work Order.

Create a New Asset from a Work Order

If the required asset does not already exist, you can create a new one directly from the Work Order.

Open the Work Order and navigate to the Assets tab.

Click Add Asset, then select New Asset.

Complete the asset fields. The following are required:

  • Equipment Type
  • Manufacturer
  • Model Number
  • Serial Number

Additional manufacturer information and supporting details are optional.

Click Create Asset. The new asset is automatically added to the location list and can be associated with the Work Order.

📌 Newly created assets may appear with an Unverified status until additional information is confirmed.

Remove an Asset from a Work Order

Open the Work Order and navigate to the Assets tab.

Locate the asset you want to remove and click the X icon beside it. The asset will be removed from the Work Order.

View Asset Details

Open the Work Order Assets tab and click the asset hyperlink.

Review the detailed asset information page. This may include:

  • Equipment details
  • Asset status
  • Model and serial information
  • Associated images

📋 Asset details displayed in Lessen Pro mirror the information available in the Lessen ONE portal.

💡 Best Practice

  • Review existing location assets before creating a new asset to avoid duplicates
  • Confirm model and serial numbers before creating new assets
  • Use the mobile app for required asset workflows and technician field activity
  • Use the web portal for administrative management and backup support when needed
  • Verify assets are linked to the correct Work Order before completing service documentation
