Add a New Employee

Add employees to assign work, manage schedules, and control system access.

Navigate to Employee Management

  • From the left-hand menu, under My Company, select Employee Management
  • Click the + New Employee button in the top right

The New Employee window will open.

Enter Employee Details

Fill in the required information:

Required

  • First name
  • Last name
  • Phone number
  • Email address

Optional settings

✓ Opt-in Text Messages — Enable if the employee should receive SMS notifications.
📅 Start Date — Add if you want to track employment dates.
🔗 Integrate with Lessen ONE — Link the employee if your company uses this integration.

Choose a Role and Set Permissions

Under Role & Permissions, select a preset role or create a custom configuration.

🛡 Admin — Full Access

Best for: Owners, Senior Leadership, System Administrators

  • Full access to all areas of the system
  • Create, edit, and delete leads, work orders, schedules, quotes, and invoices
  • Manage employees, pricing, templates, and business settings
  • Company-level control
âš  When Admin is selected, individual permissions are automatically applied and cannot be modified.

🛠 Technician — Field Worker

Best for: Field Staff performing jobs

  • View assigned leads, work orders, and schedules
  • View client details related to assigned jobs
  • Manage own schedule only
  • View quotes (cannot create or edit)
  • 🚫 No access to company settings or pricing controls

📋 Dispatcher / Back Office

Best for: Office Staff managing scheduling and coordination

  • Edit leads, work orders, and schedules
  • Manage customer and location information
  • Manage employee job details
  • 🚫 Cannot access administrative settings such as pricing or company-level changes

👥 Manager

Best for: Operations Managers or Team Leads

  • Create, edit, and delete leads, work orders, schedules, quotes, and invoices
  • Manage customer, location, and employee details
  • View reports and track job progress
  • 🚫 Cannot modify company settings, pricing, or templates

âš™ Custom Role

Best for: Hybrid or unique positions requiring mixed access

  • Manually configure permissions by category
  • Customize access for: Leads, Work Orders, Scheduling, Quotes, Invoices, Pricebooks, Templates, Customers, Locations, and Employees
  • Ideal when limited admin rights or mixed access is required

Enable Service Scheduling (if applicable)

On the right side of the screen, toggle Available for Service Scheduling.

Enable this if the employee:

  • Will be assigned to jobs
  • Has working hours set
  • Has a start location
  • Has defined skillsets
This allows the system to optimize scheduling based on the employee's availability, location, and skills.

Save the Employee

  • Review all entered information
  • Click Create at the bottom of the page

Create
The employee will now appear in your Employee Management list and can be assigned to work orders and schedules.

Tip

Only assign Admin access when necessary. Limiting permissions helps protect pricing, settings, and company-level configurations.
